Introduction
These Terms and Conditions ("Terms") constitute a legal agreement between you ("Traveler," "you," or "your") and Sevin Travels, LLC ("Sevin Travels," "we," "us," or "our"). By booking a trip with Sevin Travels, submitting a deposit, or participating in any of our travel programs, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions.
Please read these Terms carefully before making a booking. If you do not agree with any part of these Terms, please do not book travel with us.
1. Booking and Reservations
1.1 How to Book
To reserve your spot on a Sevin Travels program, you must:
- Complete and submit our booking form with all required information
- Pay the required deposit
- Sign and return all required forms, including the Accident Waiver and Release of Liability Form
1.2 Booking Confirmation
Your reservation is not confirmed until:
- We receive your completed booking form
- We receive your deposit payment
- We send you written confirmation of your booking
1.3 Accuracy of Information
You are responsible for ensuring that all information provided in your booking is accurate and complete, including:
- Legal names as they appear on passports
- Contact information
- Dietary restrictions and allergies
- Medical conditions relevant to travel
- Emergency contact information
Any errors in the information you provide may result in additional fees or inability to travel.
2. Payment Terms
2.1 Deposit Payment
- A deposit of 20-30% of the total program fee is required at the time of booking to confirm your reservation
- The deposit amount will be specified in your booking confirmation
- The deposit is non-refundable (see Section 3 for cancellation details)
- Your deposit will be applied toward your total program fee
2.2 Second Payment
- A second payment is typically due approximately 6 months prior to departure
- The exact amount and due date will be specified in your booking confirmation
- Failure to make the second payment by the due date may result in cancellation of your reservation
2.3 Final Payment
- Final payment is due 3 months (90 days) prior to departure
- Failure to make final payment by the due date may result in forfeiture of your deposit and cancellation of your reservation
- Late payment fees may apply
2.4 Payment Methods
We accept the following payment methods: Check in the mail, cash, PayPal Invoice for credit card transactions, Venmo.
2.5 Payment Responsibility
The person making the booking is responsible for collecting payments from all travelers in their party and submitting one complete payment to Sevin Travels by each deadline.
3. Cancellations and Refunds
3.1 Cancellation by Traveler
Deposit:
- The deposit is non-refundable unless we are able to find a replacement traveler for your spot
- If we successfully fill your spot with another traveler, we will refund your deposit in full, minus any non-transferable ticketed items already purchased on your behalf (such as event tickets, museum entries, or other pre-purchased services)
Payments Beyond Deposit:
- If you cancel after making additional payments beyond the deposit, refunds will be determined based on:
- The timing of your cancellation
- Cancellation penalties imposed by our vendors (hotels, tour operators, transportation providers, etc.)
- Whether we can find a replacement traveler
- Non-refundable expenses already incurred on your behalf
Finding a Replacement:
- You may find your own replacement traveler, subject to our approval
- The replacement must meet all eligibility requirements for the trip
- Any name change or substitution fees charged by vendors will be your responsibility
3.2 Cancellation by Sevin Travels
Due to Low Enrollment:
- If Sevin Travels must cancel a trip due to insufficient enrollment, your deposit will be refunded in full
- We will notify you as soon as possible if a trip is cancelled
- Sevin Travels is not responsible for any non-refundable expenses you may have incurred (such as airline tickets, visa fees, or other travel arrangements)
Due to Force Majeure:
- In the event of circumstances beyond our control (including but not limited to natural disasters, war, terrorism, civil unrest, strikes, or government restrictions), Sevin Travels reserves the right to cancel or modify trips
- See Section 3.3 for pandemic-specific policies
3.3 Global Health Pandemic Policy
In the case of a global health pandemic (such as COVID-19 or similar emergencies):
- Sevin Travels, LLC will work diligently to reschedule the program for a later, safer date
- If the trip is rescheduled due to a global health pandemic, your deposit and any payments made will be applied to the rescheduled trip date
- This policy is designed to prevent you from losing your deposit when travel delays are caused by extraordinary health circumstances beyond anyone's control
- If you are unable to travel on the rescheduled date, standard cancellation policies will apply, and we will work to find a replacement for your spot
3.4 Refund Processing
- All approved refunds will be processed within 60 days of cancellation
- Refunds will be issued to the original form of payment
- Processing fees charged by payment processors are non-refundable
3.5 No-Show Policy
- If you fail to show up for the trip without prior notice, you will forfeit 100% of all payments made
- No refunds will be issued for no-shows
4. Trip Changes and Modifications
4.1 Changes by Sevin Travels
Itinerary Changes:
- Sevin Travels reserves the right to make changes to the itinerary, schedule, or accommodations when necessary
- We will notify you of any significant changes as soon as possible
- Minor changes (such as adjustments to meal times, activity order, or similar modifications) may be made without advance notice
Accommodation Changes:
- If we must change a hotel due to unforeseen circumstances (such as overbooking, closure, natural disaster, or safety concerns), we will confirm another hotel at the same level of accommodation in the same town
- We will make every effort to ensure the replacement accommodation is of equal or better quality
- No refunds will be provided for equivalent hotel substitutions
Activity or Venue Changes:
- If a planned activity, restaurant, or venue becomes unavailable, we will substitute a comparable alternative
- No refunds will be provided for equivalent substitutions
4.2 Changes Requested by Traveler
Name Changes:
- Name changes may be permitted subject to availability and vendor policies
- Name change fees charged by vendors (airlines, hotels, etc.) are your responsibility
- Name changes must be requested in writing and are subject to approval
Date Changes:
- Requests to move to a different trip date are subject to availability
- Any difference in program pricing will apply
- Vendor change fees are your responsibility
Trip Modifications:
- Once the itinerary is finalized, individual customization requests cannot be accommodated
- You are welcome to arrange independent activities during free time at your own expense
5. What's Included in the Program Fee
Your program fee typically includes:
- Accommodations as specified in the itinerary
- Ground transportation as specified in the itinerary
- Meals as specified in the itinerary
- Guided tours and activities as specified in the itinerary
- Services of Sevin Travels tour leader/guide
- Entrance fees to attractions as specified in the itinerary
Specific inclusions will be detailed in your trip itinerary.
6. What's NOT Included in the Program Fee
The following are NOT included in your program fee and are your responsibility:
6.1 Airfare
- You are responsible for purchasing your own airline tickets
- We can provide guidance on recommended flights and arrival/departure times
- You should not purchase airline tickets until the trip is confirmed by Sevin Travels
- We are not responsible for airline schedule changes, cancellations, or delays
6.2 Travel Insurance
- You are responsible for purchasing your own travel insurance
- We strongly recommend that all travelers purchase comprehensive travel insurance
- Travel insurance should cover trip cancellation, trip interruption, medical expenses, emergency evacuation, and baggage loss
- Sevin Travels is not responsible for any losses that would have been covered by travel insurance
6.3 Passport and Visa Fees
- Passport application or renewal fees
- Visa fees and processing costs
- Document authentication or legalization fees
6.4 Personal Expenses
- Meals not specified in the itinerary
- Beverages (alcoholic and non-alcoholic) unless specified as included
- Room service and minibar charges
- Laundry services
- Telephone calls and internet access
- Shopping and souvenirs
- Tips and gratuities (unless specified as included)
- Spa services and wellness treatments
- Optional activities or excursions not listed in the itinerary
6.5 Medical and Health
- Medical treatment and medications
- Vaccinations or health certificates
- COVID-19 tests or related health screening requirements
- Travel health insurance and medical evacuation insurance
6.6 Other Exclusions
- Transportation to/from your home to the departure airport
- Excess baggage fees
- Airport taxes not included in your airline ticket
- Travel delay expenses (meals, accommodation) due to airline issues
- Anything not explicitly listed as "included" in the itinerary
7. Travel Insurance - Strongly Recommended
7.1 Why You Need Travel Insurance
Sevin Travels strongly recommends that all travelers purchase comprehensive travel insurance. Travel insurance can protect you from financial loss due to:
- Trip cancellation or interruption
- Medical emergencies while traveling
- Emergency medical evacuation
- Lost, stolen, or delayed baggage
- Travel delays
- Accidental death or injury
7.2 Our Responsibility
- Sevin Travels does not provide travel insurance
- We can recommend reputable travel insurance providers, but the decision to purchase and the selection of coverage is entirely your responsibility
- We are not liable for any losses, expenses, or damages that would have been covered by travel insurance had you chosen to purchase it
7.3 When to Purchase
We recommend purchasing travel insurance immediately after making your deposit to ensure maximum coverage, particularly for pre-existing condition waivers and cancel-for-any-reason options.
8. Traveler Responsibilities
8.1 Travel Documents
Passports:
- You are responsible for ensuring you have a valid passport for international travel
- Most countries require passports to be valid for at least 6 months beyond your return date
- Verify your passport expiration date well in advance of travel
- Passport must be in good condition with blank pages for entry stamps
Visas:
- You are responsible for obtaining all necessary visas for the countries you will visit
- Visa requirements vary by nationality and destination
- Some visas require significant processing time—plan accordingly
- Sevin Travels can provide guidance but is not responsible for securing your visas
Other Documents:
- Vaccination certificates (if required)
- COVID-19 vaccination cards or health passes (if required)
- Travel insurance documentation
- Emergency contact information
- Copies of important documents (stored separately from originals)
8.2 Health and Medical Requirements
Vaccinations:
- You are responsible for obtaining all required and recommended vaccinations
- Consult with your healthcare provider or a travel medicine clinic well in advance of departure
- Some vaccinations require multiple doses over several weeks
Medical Conditions:
- You must disclose any medical conditions, allergies, or disabilities that may affect your ability to participate fully in the trip
- Bring adequate supplies of prescription medications in original containers
- Carry a letter from your physician describing your medical conditions and medications
Physical Fitness:
- Some trips involve significant walking, hiking, or physical activity
- Assess your fitness level honestly and consult your physician before booking if you have concerns
- Inform us of any mobility limitations
8.3 Behavior and Conduct
By booking with Sevin Travels, you agree to:
- Conduct yourself in a respectful and appropriate manner toward fellow travelers, tour guides, hotel staff, and local residents
- Respect local customs, laws, and cultural norms
- Arrive on time for scheduled activities and transportation
- Follow instructions and guidance provided by Sevin Travels staff
- Not engage in illegal activities
- Not behave in a way that endangers yourself or others
Dismissal from Trip:Sevin Travels reserves the right to dismiss any traveler from a trip if their behavior:
- Is disruptive to other travelers
- Violates local laws or customs
- Endangers themselves or others
- Involves illegal drug use or excessive alcohol consumption
- Involves harassment or inappropriate conduct
If you are dismissed from a trip for behavioral reasons, no refund will be provided, and you will be responsible for all costs associated with your early departure.
8.4 Age Requirements

9. Liability and Assumption of Risk
9.1 Accident Waiver and Release of Liability Form
All participants are required to sign an Accident Waiver and Release of Liability Form before the trip begins.
By signing this waiver, you acknowledge that:
- Travel inherently involves risks, including but not limited to illness, injury, property damage, or death
- You are voluntarily participating in the trip with full knowledge of these risks
- You assume all risks associated with travel
- You release Sevin Travels, LLC from liability for any injury, loss, or damage that may occur during the trip
The waiver form will be provided to you upon booking and must be completed and returned before departure.
9.2 Role of Sevin Travels
We Are Travel Organizers, Not Service Providers:
- Sevin Travels acts as an organizer and coordinator of travel services
- We do not own or operate hotels, airlines, restaurants, transportation companies, tour operators, or other service providers
- We contract with independent third-party vendors to provide services included in your trip
9.3 Limitation of Liability
Third-Party Service Providers:
- Sevin Travels is not liable for the acts, errors, omissions, representations, warranties, breaches, or negligence of any third-party service providers
- We are not responsible for any injury, loss, death, inconvenience, delay, or damage to person or property caused by third-party providers
- Any claims regarding services provided by third parties must be directed to those providers
Examples of Third-Party Liability:
- Hotel overbooking, poor service, or facility issues
- Airline delays, cancellations, lost baggage, or schedule changes
- Restaurant food quality or service
- Tour operator errors or safety issues
- Transportation accidents or delays
- Medical treatment received during travel
Beyond Our Control:Sevin Travels is not responsible for losses, damages, or injuries resulting from:
- Acts of God (earthquakes, floods, storms, etc.)
- War, terrorism, or civil unrest
- Strikes or labor disputes
- Government actions or restrictions
- Quarantine
- Criminal acts of third parties
- Epidemics or pandemics
- Your own negligence or failure to follow instructions
- Pre-existing medical conditions
- Accidents or injuries during free time or independent activities
9.4 Maximum Liability
In no event shall Sevin Travels' liability exceed the total amount paid by you for the trip. Sevin Travels shall not be liable for any indirect, consequential, incidental, special, or punitive damages.
9.5 Personal Belongings
You are responsible for your personal belongings at all times. Sevin Travels is not liable for lost, stolen, or damaged luggage or personal items. We recommend keeping valuables with you and purchasing travel insurance that covers baggage loss.
10. Health and Safety
10.1 Pre-Trip Health Assessment
- Consult your physician before booking to ensure you are physically capable of participating in all planned activities
- Inform us of any medical conditions, allergies, dietary restrictions, or mobility limitations
- Ensure you have adequate health insurance coverage for international travel
10.2 Medical Emergencies During Travel
- In case of medical emergency, Sevin Travels staff will assist in contacting local medical facilities
- You are responsible for all medical expenses incurred during travel
- Medical care standards and availability vary by destination
- Emergency medical evacuation insurance is strongly recommended
10.3 Food and Water Safety
- Follow guidance provided by your tour leader regarding food and water safety
- Be cautious with street food, tap water, and ice in certain destinations
- Travelers with food allergies must exercise extra caution and communicate needs clearly
10.4 COVID-19 and Infectious Diseases
- You are responsible for complying with all COVID-19 vaccination, testing, and quarantine requirements for your destination
- Requirements may change with little notice—stay informed and be flexible
- If you become ill during the trip, you may be required to quarantine at your own expense
- Follow all health and safety protocols implemented by Sevin Travels and local authorities
11. Photography and Media
11.1 Use of Images
By participating in a Sevin Travels trip, you grant Sevin Travels permission to use photographs, video footage, or other media containing your likeness for:
- Marketing and promotional materials
- Website and social media content
- Brochures and advertisements
- Trip recaps and testimonials
11.2 Opting Out
If you do not wish to be photographed or have your image used, please notify us in writing before the trip begins.
11.3 Other Travelers' Privacy
Please be respectful of other travelers' privacy. Obtain permission before posting photographs of others on social media or sharing them publicly.
12. Intellectual Property
All content provided by Sevin Travels, including itineraries, photographs, written materials, and trip designs, is the intellectual property of Sevin Travels, LLC and is protected by copyright law. You may not reproduce, distribute, or use this content for commercial purposes without our written permission.
13. Complaints and Dispute Resolution
13.1 Raising Concerns During the Trip
If you experience any problems during your trip:
- Notify your Sevin Travels tour leader immediately
- We cannot address issues we are not aware of
- Many problems can be resolved on the spot if brought to our attention promptly
13.2 Post-Trip Complaints
If you have a complaint after the trip:
- Submit your complaint in writing to Sevin Travels within 30 days of trip completion
- Include specific details, dates, and supporting documentation
- We will investigate and respond within [insert timeframe, e.g., 30 days]
13.3 Governing Law
These Terms and Conditions are governed by the laws of the State of Arkansas. Any disputes arising from these Terms or your trip with Sevin Travels shall be resolved in the courts of Washington County, Arkansas.
13.4 Severability
If any provision of these Terms is found to be unenforceable or invalid, that provision shall be limited or eliminated to the minimum extent necessary, and the remaining provisions shall remain in full force and effect.
14. Force Majeure
Sevin Travels shall not be liable for any failure or delay in performing its obligations under these Terms due to circumstances beyond its reasonable control, including but not limited to:
- Acts of God (natural disasters, severe weather, earthquakes, floods, etc.)
- War, terrorism, or threat of terrorism
- Riots, civil unrest, or political instability
- Government actions, regulations, or travel restrictions
- Strikes, labor disputes, or transportation disruptions
- Epidemics, pandemics, or public health emergencies
- Supplier failures or bankruptcies
- Technical failures or cyber attacks
In such circumstances, Sevin Travels will make reasonable efforts to provide alternative arrangements or reschedule the trip, but shall not be liable for refunds beyond what can be recovered from suppliers.
15. Changes to Terms and Conditions
Sevin Travels reserves the right to modify these Terms and Conditions at any time. Changes will be posted on our website with an updated "Last Updated" date. Your continued use of our services after changes are posted constitutes your acceptance of the revised Terms.
For bookings made before changes take effect, the Terms in effect at the time of your booking will apply unless otherwise required by law.
16. Entire Agreement
These Terms and Conditions, together with your booking confirmation, itinerary, and any other documents we provide, constitute the entire agreement between you and Sevin Travels, LLC. These Terms supersede any prior verbal or written representations.

18. Acknowledgment and Acceptance
By booking a trip with Sevin Travels, making a deposit, or participating in any of our travel programs, you acknowledge that:
- You have read and understood these Terms and Conditions in their entirety
- You agree to be bound by these Terms
- You understand the payment schedule, cancellation policies, and refund limitations
- You accept responsibility for your own travel documents, insurance, and airline tickets
- You will sign the required Accident Waiver and Release of Liability Form
- You understand the limitations on Sevin Travels' liability
- You accept the inherent risks associated with travel
